How engagements work
Fixed scope. Fixed price. No surprises.
We do not sell subscriptions or bill open-ended hours. Every project starts with a written scope and ends with a number you agree to before we build. Here is how that works.
Fixed-scope projects
Most of our work is a single defined build: a tool, an integration, a workflow automation, or a small internal system with a clear boundary. You know what you are getting, we know what we are delivering, and the price reflects that agreement.
We are not a staff augmentation shop and we do not run retainer-based development unless you ask for ongoing maintenance after launch. The default is one project, one quote, one delivery.
How scoping leads to a fixed quote
After a short discovery call, we write a proposal that lists what we will build, what is out of scope, a timeline with milestones, and a fixed price. You approve it before any build work starts.
If you want to add something later, we discuss it, update the scope in writing, and adjust cost and timeline before we touch it. That is how we avoid the slow drift that turns a small project into a large one without anyone noticing.
What affects cost
Price follows complexity, not industry. Two projects that look similar on the surface can quote differently depending on what is underneath.
- •Number of workflows, user roles, and screens
- •Integrations with systems you already use (EHR, CRM, accounting, email, etc.)
- •Compliance and security requirements (HIPAA, audit logging, access controls)
- •Volume and sensitivity of data the tool handles
- •How much discovery is needed before we can define the build clearly
- •Whether AI is central to the tool or a small part of a larger workflow
Ownership and ongoing cost
You own what we build: source code, data, and the infrastructure we set up for your project. There is no per-seat license and no platform fee to keep using your own tool.
After launch, ongoing cost is usually optional and predictable. Hosting runs on your accounts or ours, billed at cost. Many clients keep us on a maintenance retainer for fixes and small changes. Larger new features are scoped and quoted as separate fixed projects, the same way the original build was.
What to expect
Every project is quoted as a fixed price after a short discovery call. You get the exact number in your written proposal, before any build work begins.
